Job Title: Events Manager
About TCDA: The Tahoe City Downtown Association promotes and enhances the Tahoe City and West Shore communities, serving as the local voice to maintain a vibrant and prosperous place to live, work, play, and visit. The TCDA Events and Program Manager provides essential event and support to the organization as directed by the Board of Directors under the supervision of the Executive Director. Job Overview:
Essential duties include producing events and programs to enhance the Tahoe City and West Shore communities and its businesses; fund TCDA operations; and help support visitors shopping, dining and recreating at Tahoe City and West Shore businesses during slow seasons under the direction of the Board of Directors. This position reports to the Executive Director and Board of Directors.
This is not an entry level position. Candidate should have 2 years experience in event coordinator, planning and management. Candidate must be able to work independently, manage multiple projects at once, and work with our board, staff and volunteers.. This is not a remote work position.
Established events include:
- Food & Wine Classic – a multi-day food & wine celebration culminating in the Wine Walk on the 1st Saturday in June
- Concerts at Commons Beach – Free summer concerts series from 2nd Sunday in June to first weekend in September for 14 shows
- 4th of July celebrations – Features an annual celebration with live music and family friendly activities at venues throughout Tahoe City
- Oktoberfest – 3rd Saturday in September
- Shop Local program – Working with Retail Committee to activate the downtown and West Shore businesses during the slower months from October to May
Event & Program Management:
- Coordinate and manage event logistics and work plans including staffing, sponsors, and financial compliance for all events and programs.
- Events & Programs Manager is the lead for the 4 event committees (Food & Wine Classic, 4th of July; Concerts at Commons; and Oktoberfest) and the Retail Committee for the Shop Local program and other identified programs and events.
- Collaborate with committee chairs on meetings, event planning, and budget implementation for events and programs.
- Responsible for coordinating and maintaining event budgets in working with the Finance Committee and Executive Director.
- Provide monthly reports to the Board of Directors.
- Identify and apply for event and marketing grants.
- Collect sponsorships from the community and businesses for events and programs.
- Work with the Office Manager to secure and distribute required event permits and manage special event insurance.
- Maintain an event database including vendors, sponsors, and volunteers.
- Work with Office Manager to oversee vendor applications and set up ticket sale portals for events.
- Work with the Office Manager to order event supplies and coordinate event management from planning to follow-up.
- Conduct followup surveys and provide analysis on ROI on all events and programs to the Board of Directors and other groups as needed.
Marketing & Promotions:
- Work with a graphic designer to create marketing materials as directed
- Provide information and photos for media inquiries.
- Support social media efforts and manage event photos.
- Compile and share an annual event list with media outlets.
- Update and maintain events email database and assist with email blasts.
- Prepare content for newsletters
- Create event and blog posts for the website.
- Assist TCDA member businesses with promotion of their events.
Additional duties:
- Assist in outreach and programs for TCDA members as directed by the Executive Director
- Assist in other TCDA priority programs as directed by the Executive Director and/or Board of Directors
Compensation:
Full-time salaried position. $70,000-$80,00 DOE
- 5 paid holidays – Christmas, New Year’s Day, Thanksgiving, Labor Day and Memorial Day
- 80 hours of Paid Time Off annually after 90-day probationary period.
- Paid sick time as outlined by California’s Sick Time Law
- Health insurance stipend. Starts on the first pay period after hire.
- Monthly cell phone reimbursement payable after the first 30 days of employment.
- Wellness stipend payable at the end of the 90-day probationary period.
